Profile Sharing on myUMBC

How to safely share your academic information with others

Did you know that you can share your myUMBC profile with your parent, guardian, or whomever you wish without having to give out your password or login credentials?

Profile sharing allows them to have access to information that you see fit, whether that be grades, billing, financial aid, etc. This can be useful to allow them to see and access certain information, especially if you are not always around to show them or if you only want them to look at some information and not everything. You have complete control when using this feature, which means you can also revoke people’s access to information at any time.

To access profile sharing, you can click on your picture in the top right of your myUMBC page and select “Sharing”.

From here, the process is pretty straightforward. You should see instructions on how to share information with those who have an email address and a social account they can log in through, such as Google, Microsoft, or Amazon. This is also where you specify what information they will have access to. There is no limit to the number of people you share access to, but be careful and make sure it's people you trust with your information.

New Box Experience Now Available For UMBC Users

Box now has sidebar navigation, improved search, and more

Box, an online file sharing system that allows you to access your files from multiple devices and collaborate with others, recently released an update to its web interface. Some of the new changes include a brand new sidebar for navigation, improved search, an improved tile view for files, along with a few other minor changes. 

New Sidebar
A new, persistent sidebar creates easier access to all your files. Now, the sidebar is always with you wherever you navigate to on Box so things like your ‘Favorites’ are just a click away. You can also now change your landing page to ‘Favorites’ rather than All Files allowing for greater customization as to which files appear when you first open Box. You can change your landing page by going into your account settings. Additionally, ‘Notifications’ have been renamed to ‘Messages’.

New Improved Search  
Previously advanced search options were only accessible after completing a simple keyword search. Now, search results can include content filters to narrow down results and can search by metadata.

Other Changes
The new Box experience has a lot of smaller changes as well. Single clicking an item selects it, while double clicking an item or clicking the name opens it. You can now switch between list view or an enhanced thumbnail view for rich previews easier too. Box has also added several new keyboard shortcuts:

Use Ctrl + click to multi select items
Ctrl + C shortcut to copy selected items
Ctrl + X shortcut to cut selected items
Ctrl + V shortcut to paste selected items

3D and 360º images, as well as HD and 360º video can now be viewed in Box without the need of downloading the file. Options to “Invite Collaborators” and “Get [a] Shared Link” are now consolidated under the “Share this Folder” button. 

If you want to revert back to the old Box experience, you can do so by clicking on the question icon at the top of the page. At a later date, the new Box experience will be enabled for all users and you will be unable to revert back to the old interface.

Box.com Has Arrived At UMBC!

A new, flexible, high-capacity storage solution for UMBC.

We are living in a world where people work from multiple devices — phone, laptop, and computer – and need access to their files anywhere and anytime. UMBC’s active directory (AD) system serves the campus well but it doesn’t provide the level of flexibility for mobile devices and off-campus access that people need.

The higher education community, through an initiative by Internet2, has worked with a company named Box.com to provide a service that we believe will meet our needs and is secure. Box is an online file sharing system that you can access from multiple devices. Box also allows you to share your files and folders with others easily.

DoIT signed an agreement and launched Box.com in late September, after integrating our single-signon.

Students, faculty, and staff will now be allowed to have web-based storage that they can use their myUMBC login to access. Files can be easily shared with others on campus and off-campus. You can even send a user a “URL” that allows someone that doesn’t have the Box.com service to access the file.

One of the nice features of Box.com is that is has great support for collaboration. It integrates well with Google Docs and we feel that faculty research groups will love the flexibility this provides in sharing data with other members of their research team.

DoIT will be rolling out this service with a limited launch to departments, faculty and staff that want to be early adopters, after which we will make this service available to everyone, including students. 

During the spring we will also identify departments that need more flexibility for shared file storage than AD provides and transition them over to the Box.com offering.
