Graduating Students' Access to UMBC Cloud Storage Services

A guide for new alumni on their cloud storage access

Congratulations on making it this far in your academic career! You've put a lot of hard work into getting this far, and it's almost time to graduate, but before you move on to the next chapter of your career, make sure you take the next steps to ensure you keep any important records from UMBC!


Once you become an alumnus of UMBC, there will be changes to what services you can have access to, primarily Google Suite, Microsoft Suite, and Box. With Microsoft Suite and Box, your access to these services expires 30-90 days after graduation. This means any documents or files you had stored in OneDrive, Office 365, and Box will be deleted if they are not copied or moved to another storage device. 


To maintain access to your UMBC Google Suite, which includes your Google Drive and UMBC Gmail, you will need to sign into your myUMBC account at least once every 12 months.


Note: We strongly recommend that you migrate any important data and have your UMBC mail forwarded to a personal account.


  • Storage: Your Google storage will be restricted to a total of 5GB os space. Please review the resources below to help cut down on you storage usage and assess what should stay on the UMBC cloud before your account is adjusted to the alumni quota limit

  • Migration: For long-term accessibility and data security, please migrate any critical files a personal cloud or storage space

Discover Google Workspace and Microsoft OneDrive

Cloud resources can transform a course design with streamlined document display and reduce storage footprint. Two new integrations from Google Workspace and Microsoft OneDrive offer cloud-based file management for Ultra courses. These tools allow faculty to select existing files, such as a syllabus or course schedule, and embed them seamlessly into a course for students to view. Customized privileges ensure only the document owner can modify the file within the framework of the course or the cloud drive while keeping the learner's access restricted to read-only.

Additionally, these tools support student collaboration, allowing for dynamic exchange of ideas, peer learning, co-authorship, and presentation planning. Creating a collaborative document in Google or Microsoft provides an exciting opportunity for faculty to support student teamwork in a shared environment directly embedded in the Ultra course space. Leverage these tools with students for real-time writing and editing, brainstorming, project planning, and other collaborative experiences.

Windows 10 Free Upgrade for Personal Machines Ends July 29th

Upgrade for free otherwise pay $120 license for home version

DoIT would like the UMBC community to know that Microsoft's deadline for a free upgrade to Windows 10 is ending on July 29th, 2016. If you are running Windows 7 or Windows 8.1 and do not take advantage of this offer, the upgrade will cost $119 after.

Please note that this recommendation applies to students, faculty, and staff personal machines. In Summer 2016, all DoIT controlled computer labs will be upgraded to Windows 10 Education. DoIT does officially support Windows 10 and will be happy to upgrade faculty and staff UMBC owned machines as requested. Windows 10 also has support for Eduroam & MATLAB

Bryan Roper, Executive Demo Lead for Microsoft, gave 10 reasons why you should upgrade. Roper mentioned that Windows 10 has the highest customer satisfaction rate of any version of Windows ever. 

By upgrading now, you can get live tiles that display tidbits of information without the need to open an app. There are also more games and apps on Windows 10 such as Minecraft, Netflix, and Adobe Photoshop Express. The security of Windows 10 is also improved, and if your device supports a fingerprint reader you can sign into it using Windows Hello

The other advantage of upgrading now is you will get all future Windows 10 updates for free. This includes the upcoming summer update titled Anniversary Update which includes improvements to Cortana, Microsoft’s digital personal assistant similar to Apple’s Siri.

Microsoft Office and Box Now Offer Real Time Collaboration

Faculty, staff, and students have new productivity features

In June 2015, DoIT announced Microsoft Office was now available to the entire UMBC campus. Now, Microsoft Office and Box have deeper integrations with each other allowing for more productivity and an improved workflow for its users. There are now 3 key new ways to collaborate using Box and Microsoft Office creating real time collaboration for users. 

The first way is similar to Google Docs, where you can now edit a file at the same time as someone else and have the changes show up in real time as they happen. This extends to Microsoft Word, PowerPoint, and Excel where all your edits are automatically saved. You can also revert to a previous revision at anytime. 

Mobile users on iOS can select Box as the default storage option for Office on iOS. This will allow users to access all their box files from Office and edit them directly on the app. The Box app for iOS will also allow you to open Office and edit your files while tracking all changes automatically. 

For Outlook users, Box will be directly integrated on the site which will allow users to attach files, instantly access all of their Box content and select any files they want to send. Even if you don't have any of your content saved to the desktop, you can always send files from Box.
